Privacy Policy

This Privacy Policy explains what information Akademia collects, including from family member accounts held by minors, how it's used, who it's shared with, how long it's kept, and how a primary account holder can review, correct, or delete a family member's information. It should be read alongside our Terms of Membership.

01Overview & Scope

This Policy applies to Akademia's platform, including the primary Member account, any family member accounts (including those held by minors) added under it, and Akademia's website. Akademia is a digital, self-paced curriculum delivered in monthly phases with no live or direct interaction between students and Akademia staff — modules, content, and progress tracking are accessed independently through each individual's own account.

Because family member accounts may belong to children as young as 8, this Policy pays particular attention to what is and is not collected from them, and to the primary account holder's role in reviewing and controlling that information.

02Information We Collect

From the Primary Account Holder

  • Name, email address, and date of birth (used to confirm the primary Member is 18 or older).
  • Billing information, processed directly by our payment providers, Stripe and PayPal — Akademia does not directly store full card numbers.
  • Account credentials (Akademia stores a securely hashed password, never the password itself in plain text).
  • Any information voluntarily provided when contacting support.

From Family Member Accounts (Including Minors)

Each family member added under a primary account receives their own individual sign-in. The information collected for a family member account is intentionally limited to what's needed to operate that account:

  • Name, email address, and date of birth (used to confirm they meet the 8-and-older minimum and to tailor curriculum sequencing to their starting point).
  • Account credentials for that individual sign-in.
  • Curriculum progress data — which modules and phases have been completed, and when.
What we do not collect from family member accounts: Akademia does not request or knowingly collect precise geolocation, government ID numbers, biometric data, or social media account information from any family member account. Akademia does not permit family members to interact directly with Akademia staff or with other members through the platform, and does not operate open chat, messaging, or social features between accounts.

Automatically Collected / Usage Data

  • Basic device and browser information (device type, browser, operating system) and IP address, primarily for security, fraud prevention, and troubleshooting.
  • Log data such as login timestamps and pages/modules accessed, used to maintain the service and understand curriculum engagement at an aggregate level.

03Children's Privacy & Parental Consent

Akademia is structured so that no minor can create or hold an account independently:

  • Primary accounts require the account holder to be 18 or older, verified against the date of birth provided at enrollment.
  • Family members must be 8 years of age or older and are added exclusively by the primary (adult) account holder — never through self-service signup.
  • Before a family member's account is created, the primary account holder must affirmatively confirm, via a checkbox at enrollment, that they are that individual's parent or legal guardian and are authorized to enroll them and consent to our Terms and this Policy on their behalf. This confirmation, along with the date and the primary account holder's email, is recorded as part of that family member's account.

This is Akademia's mechanism for verifiable parental consent under the U.S. Children's Online Privacy Protection Act (COPPA) and under applicable EU/UK GDPR provisions governing information society services offered to children. Where a family member is old enough that GDPR would otherwise permit them to consent on their own behalf under their country's law, Akademia does not require the primary account holder's guardian confirmation.

A parent or guardian who believes a family member account was created without proper authorization, or who wishes to revoke consent, should contact us using the details in Section 13 — Akademia will suspend the account while the matter is reviewed.

04How We Use Information

  • To create and operate primary and family member accounts, including verifying age eligibility.
  • To deliver curriculum content, sequence modules appropriately, and track progress.
  • To process membership billing and communicate about billing (invoices, payment failures, price changes).
  • To provide customer support and respond to inquiries.
  • To maintain platform security, detect fraud, and prevent abuse.
  • To comply with legal obligations.

Akademia does not use information collected from family member accounts to serve targeted advertising, and does not build advertising profiles of any family member account, minor or adult.

05How We Share Information

Akademia does not sell personal information, including that of family member accounts. Information is shared only as follows:

Any future change that would meaningfully expand who information is shared with, particularly regarding family member accounts, will be communicated in advance under Section 12.

06Data Retention

Account information is retained for as long as an account remains active. When a primary Member cancels their membership, associated family member accounts are cancelled at the same time (or individually, if only that family member's account is removed). Following cancellation:

  • Account and curriculum-progress data is retained for a limited period to allow reactivation or to resolve billing disputes, then deleted or anonymized.
  • Billing records are retained as required by applicable tax and accounting law, independent of account status.
  • A parent or guardian may request earlier deletion of a family member's account and data at any time, as described in Section 7.

07Parental Access, Correction & Deletion

The primary account holder can, at any time:

  • Review the information held for any family member account added under their membership by contacting us (Section 13) or, where available, through account settings.
  • Correct inaccurate information for a family member account.
  • Delete a family member's account and associated personal information, or revoke previously given consent for that account, at any time — this can be done from account settings or by contacting us, consistent with the cancellation process described in our Terms of Membership.
  • Decline further collection of information from a family member account by cancelling that account; ongoing use of the Service by that family member is not possible without an active account.

Requests are typically completed within 30 days. We may need to verify the requester is the primary account holder before acting on a request involving a family member's information.

08Rights for EU/EEA/UK Users (GDPR)

If you or a family member enrolled under your account are located in the EU, EEA, or UK, you additionally have the right to:

  • Access the personal information we hold and receive a copy of it (data portability).
  • Request rectification of inaccurate information.
  • Request erasure of information, subject to legal retention obligations described in Section 6.
  • Request restriction of, or object to, certain processing.
  • Lodge a complaint with your local data protection supervisory authority.

These rights can be exercised using the contact details in Section 13. For a family member's information, requests should come from the primary (adult) account holder, consistent with Section 7.

09Data Security

Akademia uses reasonable technical and organizational measures to protect account information, including encrypted transmission (HTTPS), hashed password storage, and restricted internal access to family member account data. No method of transmission or storage is completely secure, and Akademia cannot guarantee absolute security.

10International Data Transfers

Akademia's infrastructure and service providers may process information in countries other than where you or a family member reside, including the United States. Where information originating in the EU/EEA/UK is transferred internationally, Akademia relies on appropriate safeguards, such as standard contractual clauses, as required by applicable law.

11Cookies & Similar Technologies

Akademia uses strictly necessary cookies/local storage to keep members signed in and to maintain enrollment progress through the checkout flow. Akademia does not use family member account activity for cross-site advertising tracking.

12Changes to This Policy

Akademia may update this Policy from time to time. Material changes, particularly any that affect what is collected from family member accounts or how that information is shared, will be communicated by email to the primary Member's address on file at least 30 days before taking effect, consistent with the notice process in our Terms of Membership.
